Ankura has an exciting opportunity for an ambitious Project Manager/Executive Assistant with 1-2 years of experience to join the Visual Communications team.

This position involves full project management responsibility. This position requires someone who will maintain communication with the client throughout the duration, from the initial engagement through to the close of the project. This communication includes budget and status updates to keep the client informed on a regular basis. It also includes coordinates and manages staff working on projects, including outside vendors, to ensure budgetary compliance, deadline compliance and the client’s complete satisfaction with the Visual Communication Consulting’s services. This professional will  serve as a consistent and knowledgeable point of contact for clients.

  • Providing overall support to Visual Communications Consulting team assigned to matters nationwide
  • Initial filing of new matters, including submitting conflict checks, drafting Letters of Engagement, and communicating directly with clients regarding specialized terms
  • Coordination with the team regarding drafting and submission of proposals and management of proposals once accepted
  • Monitoring budgets and keeping clients apprised of resources exhausted during the course of the engagement
  • Billing of matters, including submission to client, monitoring of collection, and answering client questions
  • Monitoring and assistance with timesheet and expense entries into Deltek Vision
  • Coordination with vendors/contractors, including management of invoices associated with matters
  • Ordering equipment necessary in war rooms and courtrooms
  • Handling overall function of the office, including interaction with building management for maintenance/repairs
  • Coordinating accommodations for visitors and out of town colleagues
  • Coordinating all office events and functions at direction of team
  • Arranging complex travel itineraries
  • Collaboration with the wider corporate support teams, including HR, Finance, and IT
  • Providing general administrative support as requested (copying, filing, mailing, faxing, etc.)
  • Proficiency with time and expense software required
  • Demonstrable office managerial experience in an Executive Assistant or similar role supporting at Managing Director level or above
  • Excellent interpersonal and communication skills both written and verbal
  • Highly efficient and organized with a proactive work ethic and ability to work as part of a busy team as well as independently
  • Strong attention to detail, a problem solver who can think on their feet
  • Ability to prioritize and manage workloads amid conflicting demands and busy work periods
  • AA required BA preferred
  • 1-2 years of experienced in working in  role in a fast-paced, dynamic, and often pressured environment
  • Previous experience in event management or in a start-up business
